Overview
Secretarius is an AI meeting assistant at secretari.us. Your conversations stay yours: we don't sell your data, we don't use your meetings to train models, and we only keep what we need to take notes and help you follow up.
Information we collect
Just what's needed to run the product:
- Your account — name, email, and photo when you sign in with Google or Microsoft
- Your calendar — titles, times, attendees, and join links, if you connect one
- Your meetings — we transcribe the call, then keep the notes (transcript, summary, action items, and related metadata). Audio is not stored as a recording
- The assistant — questions you ask, so we can answer from your meetings. Chat history stays in your browser
- Integrations you connect — encrypted credentials so we can send action items or recaps where you ask
- Email we send you — delivery records so summaries and reminders actually arrive
We don't run ads or product-analytics trackers. Our host may log standard request info to keep the service running.
How we use your information
- Join meetings, transcribe them, and generate notes, action items, and briefs
- Power in-product search and the meeting assistant
- Send summaries, briefs, and reminders (on by default; turn them off in Settings or via unsubscribe)
- Let people in the call know a note-taking bot joined, and how they can ask it to leave
- Keep the product running, secure, and legally compliant
Third-party services
A few specialists help us deliver Secretarius. They process data on our behalf. We don't sell your personal information, and we don't use your meeting content to train Secretarius models.
- Google — sign-in, Calendar, and Tasks if you connect them, plus search embeddings
- Microsoft — sign-in, Outlook, and To Do if you connect them
- Recall.ai — joins the video call
- Deepgram — speech-to-text
- Anthropic — summaries, action items, briefs, and the meeting assistant
- Resend — transactional email
- Hosting — the app and encrypted meeting storage
How providers handle meeting audio and transcripts
Turning speech into notes means a few companies see meeting content briefly. We keep that window as small as we can.
- Recall.ai joins the call. Once the transcript is saved we immediately delete all recording media from their servers. A 6-hour hard-expiry is also set on the bot at creation as a backstop.
- Deepgram turns audio into text. We opt out of their training program, so they don't keep your audio to improve their models.
- Anthropic (Claude) writes summaries and answers questions. They don't train on your content. They may hold a copy for up to 30 days for abuse monitoring, then delete it.
Access and sharing
Meeting notes stay in your workspace. Only people who own the meeting or are listed as participants can see them. We don't share transcripts across companies on the same call.
You can email a PDF to people already connected to the meeting, or create a link that expires in 30 days. Platform operators can see usage and cost — not your transcripts.
Data retention
We keep meeting data and account information while your account is active. Sensitive fields (transcripts, summaries, and the like) are encrypted at rest. Raw audio is deleted as soon as the transcript is saved. Live Session recordings are transcribed live and never stored as audio files.
Delete any meeting from the dashboard. To permanently delete your account and all owned data, go to Settings → Account → Delete forever. If you need help, email privacy@secretari.us.
Security
We encrypt data in transit and at rest, verify webhooks, and limit who can access what. No system is perfectly secure, but we treat meeting content as sensitive.
Email preferences
Every automated email has an unsubscribe link. You can also turn types on or off in Settings.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or export your personal data. Contact privacy@secretari.us.
