Overview
Secretarius (“we,” “us,” or “our”) provides an AI meeting assistant at secretari.us. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using Secretarius, you agree to the practices described here.
Information we collect
We collect information in the following ways:
- Account information — When you sign in with Google or Microsoft, we receive your name, email address, and profile image from your identity provider.
- Calendar data — If you connect Google Calendar or Microsoft Outlook, we access meeting titles, times, attendees, and conference links needed to join and process your meetings.
- Meeting content — When Secretarius joins a call or you record in person, we receive audio, transcripts, summaries, action items, decisions, topics, and related metadata generated from your meetings.
- Usage data — We collect basic technical information such as browser type, IP address, and how you interact with the service to operate and improve the product.
How we use your information
We use the information we collect to:
- Provide, maintain, and improve Secretarius
- Join meetings, transcribe conversations, and generate summaries and action items
- Power in-product search and the meeting assistant over meetings you own or participate in
- Send meeting briefings and product-related emails you have opted into
- Authenticate users and secure the platform
- Respond to support requests and comply with legal obligations
Third-party services
Secretarius relies on trusted infrastructure and AI providers to deliver the service, including Google (authentication, calendar, and embeddings), Microsoft (authentication and calendar), and specialized providers for meeting capture, transcription, AI processing, and email delivery. These providers process data on our behalf under their own terms and privacy policies. We do not sell your personal information.
Access and sharing
Meeting content is scoped to your workspace. Within a company workspace, only users who own a meeting or are registered as participants can view that meeting's transcript, summary, and exports. We do not share transcripts across organizations when multiple companies join the same call — each organization runs its own bot and receives its own recording pipeline.
You may email a meeting PDF to recipients who share your email domain or already belong to your workspace. Share activity is rate-limited and logged.
Data retention
We retain meeting data and account information for as long as your account is active or as needed to provide the service. Sensitive meeting fields (including transcripts, summaries, decisions, topics, attendees, and search index text) are encrypted at rest with AES-256-GCM whenENCRYPTION_KEY is configured.
Raw meeting audio is retained only briefly (approximately 6 hours) and is deleted as soon as we have saved your transcript to Secretarius. You may request deletion of your account and associated data by contacting us.
Security
We use industry-standard safeguards to protect your data, including encrypted connections, field-level encryption for sensitive content, webhook signature verification, and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or export your personal data, or to object to certain processing. To exercise these rights, contact us at privacy@secretari.us.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date above.
